Dear Nell
I refer to your Freedom of Information request to which I am now in a
position to respond on behalf of South Norfolk Council. My response is
outlined below along with your questions for ease of reference.
1. Do you have a post room / mailroom? yes
2. Are the Members of Staff managed in house or outsourced? yes
3. How many documents are received per day? Average 60 documents
per day
4. How many documents are posted every day? Average 50 documents
per day
5. How much did you pay for postage in the last financial year?
Annual budget is £90,000 (includes hybrid mailing service cost)
6. Do you have any workflow software enabling post to be scanned
and sent to the intended recipient? If so, what? Idox DMS
7. Do you have a hybrid mail solution? yes
8. What is the name, title and direct dial telephone number of the
person that is responsible for the everyday running of the post room? Kim

9. Does the Council use a SMS Text Messaging service to contact
Staff and / or wider community Yes - we use an SMS Text Messaging Service
during emergencies such as severe weather to relay important info to staff
and elected members. We do not use a text messaging service for the wider
community.
10. If the answer to Q17 is Yes, how many text messages were sent in
the last financial year and how much did the Council spend on this service
From April 2020 until now (March 2021) we have sent 2008 messages. the
messages cost 4p each so the total spent is £80.32.
I hope this is of assistance and is sufficient to meet your requirements,
