Common seal of the council

Response to this request is long overdue. By law, under all circumstances, Coventry City Council should have responded by now (details). You can complain by requesting an internal review.

Dear Coventry City Council,

Please provide a copy of all entries in the record book referred to in Part 3a - Council Procedure Rules; 25 Common seal of the council for the period Jan 1st 2013-Dec 2015.

I do not require copies of the attested/sealed documents themselves just the attestation/ seal dates, seal number and titles/names of documents being sealed.

Yours faithfully,

Toby Young

Dear Information Governance,

Thank you for your response.

My request was for a copy of the record book/log.
All relevant documents are supposed to be sealed by legal services and both the seal and record book/log are to be in the possession of the city solicitor.

Can you please confirm that the local authority are advising that legal services do not have an accurate and comprehensive record book/log of documents affixed with the seal of the city council, despite these seals being sequentially numbered.

I reiterate that I am not requesting the documents themselves.

Yours sincerely,

Toby Young

Dear Information Governance,

Apologies I had meant to chase this sooner.

I have asked for the data from the central record/log that is to be maintained by the city solicitor. As such, hard copy data should not need to be collated from across multiple sites. The purpose of the central record book/ log is so the information regarding the official council seal is monitored in a secure and controlled manner. Unless no central record/log has been kept?

I again ask you to confirm that your are advising that the city council have not kept a secure, detailed log of when, and for what reason the city seal has been affixed to a document?

Yours sincerely,

Toby Young

Dear Information Governance,

Thanks for your email.
I know how busy we all are but I would just like clarity

On the 18th February you responded:
"the information is in hard copy format at more than one Council
premises. The only way of obtaining the information requested is for a Council employee
to physically attend the offices and collate the information."

I have pointed out that the purpose of the central record log is, well, that it is in one location.

Today you have advised that the information requested is in just one location but no one is there to get it.

Please confirm:

Is the information (record log) in one or multiple locations?

Which location(s) is the information held?

Yours sincerely,

Toby Young

Dear Coventry City Council,

Where is my information? Council staff have been in office for some time now.

It seems to be the case that there has been no central register of the sealed documents maintained.

Dear Information Governance,

Why can't you provide a timescale? Isn't the assessment of how long a request will take an integral part of a local authority's consideration whether to process an FOI request?

As already advised, I am more than happy to receive the data which you have already advised is immediately at hand at Friargate. The rest can follow. Or perhaps it would not be favourable to the council to release the data without it being 'reviewed'?

Yours sincerely,

Toby Young
