CAPITALS for proper names

why do you use all capital letters as opposed to first letter capitals as in proper names when addressing letters to persons

i.e.

My apologies if I did not make myself clear when I said which
department. Our Organisation has many departments, e.g. Jobcentre
plus , Pensions disability and Carers Service . Would it be possible
to have sight of the actual correspondence you received to which you
have a complaint for. I can then allocate this to the correct
department.

My request was not a complaint but merely a question and the particular department was Jobcentre plus though I would imagine you use the same capitalisation in each different department and if not could you please explain why under the FOI act

I have read that they capitalize your name on all official documents because you are a corporation from the day you are issued a birth certificate. They regard you as a legal fiction/straw man...Legal jargon and all that. But I have only read this on websites such as TUPC.org (the forum is well worth a visit) and the likes. It would be nice to hear the 'official' reason though.

As a former employee of the DWP, I would like you to know that the reason your name is all in capital letters is to aid the employees.(This is why you are asked to fill in part of your forms in capitals)

Each local office will have thousands of people with similar names in their area, and the amount of paperwork involved means that it is important that the relevant paperwork is filed in the right place, along with all the databases being as accurate as possible to conform to the data protection act.

If a document gets filed in the wrong folder it may well not be discovered for a long time, if at all. Capital letters are just a standard that is used to help keep things as accurate as possible as it is harder to mistake a name in capitals than in lower case. Even the handwriting on a folder with your details should be written in capitals, and you may be able to verify this the next time you are in an office.

I never sent letters to the public in my capacity, but as the name in the database will be in capitals I would expect that any letter you receive will be a form letter merged with your database entry.

As you can imagine, in almost any area of the country there are many people called 'John Smith'. It is sometimes very difficult to find all the relevant paperwork for the right 'John Smith', a letter or form filed in the wrong 'John Smith' can cause chaos.

Also I would like to point out to you that the reply for your freedom of information request does not address you in Block capitals, as your name would have been typed in manually instead of coming from a database.
