This request is concerning the calculation and allocation of annual leave and bank holiday leave for employees. I am specifically interested in the different calculation methods and how employees receive their allowances.

Freedom of Information Act
This covers general recorded information that is held by the Council.
Examples: budget information, staff structures, details of contracts etc

From the next working day that the request is received we have 20 working
days to respond. This does not take in to account any clarification we may
require or if we need to consider the Public Interest Test which allows us
up to a maximum of 20 additional working days.

Environmental Information Regulation
This covers all environmental information held by the Council.
Examples: Planning Applications, details of proposed road works, flood
information, pollution information etc.

From the next working day that the request is received we have 20 working
days to respond.

Section 7 of the Data Protection Act (Subject Access Request)
This section of the Data Protection legislation only relates to requests
for information about the requester or a client if you are acting on their
behalf.
Examples: Personnel file, Housing file, Council Tax/Housing Benefit
information etc.

We have 40 days from the date of receipt to respond.

This request is concerning the calculation and allocation of annual leave
and bank holiday leave for employees. I am specifically interested in the
different calculation methods and how employees receive their allowances.

In response to questions 4 and 5, individual staff and their line managers
are responsible for ensuring employees leave is correct and calculating
leave.

6. Please forward your formula for calculating annual leave (full time and
part time).

and part time).

8. Is annual/bank holiday leave calculated electronically? If so, which
system do you use?

In response to questions 8 and 9 – Yes, annual leave and bank holiday
leave is calculated and recorded electronically via Microsoft Excel
spreadsheets.

10. If an employee changes their contract hours, do you recalculate their
annual leave/bank holiday entitlement? If, so, please forward your method.

i)  The calculation at question 6 would be used, then:

ii)  Calculate the original leave entitlement for the year and divide by
12 and multiply the number of completed months the employee worked the
original hours (from the beginning of the annual leave year, April).

iii)  Recalculate the leave entitlement for the year at the new hours and
divide this by 12 and multiply by the number of complete months from when
the employee commenced the new hours (until the end of the leave year,
March).

iv)  Add the 2 figures together.  This gives the total leave for the year.

11. If an employee changes their work pattern, do you recalculate their
annual leave/bank holiday entitlement? If, so, please forward your method.
