I would be grateful if you could please provide the following information:

1. The software suppliers your Local Authority uses for:
• Education management, including but not limited to Admissions, Early Years, Home to School Transport, Free School Meals, Children in Employment, Children in Entertainment, Children’s Missing Education, SEND, NEET, Youth Offending, Children’s Centre Management

2. The amount paid to these suppliers annually for licencing, support and maintenance and cloud hosting (if applicable)
3. The contract term, renewal dates and optional extension periods – if your contract is an annual rolling renewal then please state this
4. The notice period you are required to give for each
5. The contract manager responsible for market engagement when the contracts end

Further to your request received on 19/07/2024, I confirm that the Council
has now considered your request under the Freedom of Information Act
2000. For ease of reference, I will now address each of your questions in
turn.

 

Dear Croydon Borough Council,

I would be grateful if you could please provide the following information:

1. The software suppliers your Local Authority uses for:
• Education management, including but not limited to Admissions, Early
Years, Home to School Transport, Free School Meals, Children in
Employment, Children in Entertainment, Children"s Missing Education, SEND,
NEET, Youth Offending, Children"s Centre Management

Our education management system (EMS) is Synergy supplied by The Access
Group.
We are in the final stages of migrating to Synergy from Capita ONE EMS -
Children in Employment, Children in Entertainment are in the final module
we are using which is scheduled to migrate next month.
Youth Justice is managed in Core + also supplied by The Access Group (this
system also has modules for post 16 statutory reporting - costs cover both
as they aren't apportioned)

2. The amount paid to these suppliers annually for licencing, support and
maintenance and cloud hosting (if applicable)

Synergy 92,975
Capita ONE 55,978
Core + 39,800

3. The contract term, renewal dates and optional extension periods – if
your contract is an annual rolling renewal then
please state this

Synergy = 10-year contract from 2019, structured 3+3+3+1
ONE = annual renewals until migration completed. Current contract ends end
Mar 25 and not expected to be extended further
Core + = Just completed a tender and awarded for 3 years

4. The notice period you are required to give for each

Synergy = 30 days
Capita ONE = 6 months for intention to cancel
Core+ = 12 months for early termination. Otherwise, reasonable notice for
contractor to enter premises and remove equipment

5. The contract manager responsible for market engagement when the
contracts end
