Thank you for your request for information. In answer to your enquiry I can
provide the following response on behalf of East Dunbartonshire Council
I must advise that the Freedom of Information is the right to request
recorded information from the Council. The focus of this enquiry is that
the Council provide statements on the use of visitor books. The request is
for statements about recorded information rather than the information
itself. In order to provide assistance however, the Council has answered
the questions directly.
Do you currently record details of visitors attending your council offices?
Yes
What details do you record? E.g. name, company name, who they?re visiting,
etc
Visitor name, company, time in/out, who they are visiting, vehicle
registration where applicable
Do you do this electronically or on paper?
Paper
How long are the details kept?
Loose refill sheets are securely disposed of when completed, daily or
weekly
Is your method of visitor recording GDPR compliant?
This request seeks opinion and is therefore not a valid FOI request.
However, the Council is satisfied that the use of visitor books is
appropriate.
How much per annum does the visitor recording method you use cost the
council?
Under Section 17 of the Freedom of Information (Scotland) Act 2002 the
Council does not record this information. I would however, estimate that
the figure is no greater than £200 per annum
Do you currently record details of staff attending your council offices?
Yes, Council officers attending a building other than their normal place of
work are considered visitors. The above responses also apply to Council
officers.

the Local Authority to clarify or explain, please do feel free to get in

If you are dissatisfied with the way in which East Dunbartonshire Council
responded to your request, you are entitled to require the Council to
review its decision. The review will be handled by staff who were not
involved in the original decision. Please note that in order for a review
to take place you must:
· Lodge a written requirement for a review within 40 working days of
the date of this letter
· Include a correspondence address and a description of the original
request and the reason why you are dissatisfied.

The review will be handled by staff who were not involved in the original
decision. You will receive notice of the results of the review within 20
working days of receipt of your request. The notice will state the
findings of the review as well as details of how to appeal to the Scottish
Information Commissioner if you are still dissatisfied with the Council?s
response. You must request an internal review by the Council before a
complaint can be directed to the Scottish Information Commissioner.
