Dear Simon

Further to your enquiry below and my earlier acknowledgement of your request, I am writing to ask you to provide me with some clarification over the exact data/statistics that you are looking for. I'm sure you will appreciate that asking for 'all data and statistics' is a very wide-ranging request and potentially could cover a large volume of data from many different areas of the University. So, in order for us to ensure that we provide you with the information that you are seeking I would be grateful if you could narrow down the focus of your request. Colleagues in our Planning Team would be able to provide me with, for example, student numbers going back as many years as we have data for, split by level of study, domicile, campus, mode of study, gender, etc. Is this the sort of data that you are interested in or something else?

You would also need to bear in mind that we would need to be able to retrieve the data and collate it for you in less than 18 hours. This is the time period considered by the Freedom of Information Act (FOIA) 2000 to be the appropriate time limit for authorities to spend on responding to FOIA requests. Anything over that time would mean the application of an exemption under FOIA of Section 12 - exemption where the cost of compliance exceeds the appropriate limit.

Please note that the 20 working days allowed by the Act for our response won't start counting down until I hear back from you.

Dear Freedom Of Information Requests,

Thank you for the message. I appreciate that "all" data taken literally is not a sensible request! Likewise it is hard for me to tell you "the exact data/statistics" that I am looking for as I have no idea what you have.

You mention: "Colleagues in our Planning Team would be able to provide me with, for example, student numbers going back as many years as we have data for, split by level of study, domicile, campus, mode of study, gender, etc". That might be good but I am only interested in the data you have regarding LGBT+ categories, perhaps split by level of study and subject, over as many years as possible? And a total student numbers figure for each split, ie level of study and subject. I am not interested in domicile, campus etc.

In addition, have any reports been produced for the university staff doing LGBT monitoring, providing health services or for board meetings or ..... that might have the data?

Thank you for your enquiry dated 17^th March 2021, received by us on the
same date concerning statistics and reports on the LGBTQ+ student
community here at the University of Essex.  Your request is being handled
under the Freedom of Information Act 2000.  Please see our response below.

 

Your Request

 

Please can you send me all data and statistics you have about the LGBTQ+
student community at the university, now and for as many past years as
possible?  Can your please set out the sources, forms and surveys that you
used to derive the data.

 

Our Response

 

Following my acknowledgement of your request on 17^th March on 18^th March
I sent you a further email informing you that as your request was very
wide-ranging and could potentially cover a large volume of data from many
different areas of the University assistance in narrowing the request down
was required.  On 18^th March you replied to say that you would be
interested in the data that we hold regarding LGBTQ+ categories, perhaps
split by level of study and subject, over as many years as possible, along
with total student numbers for each split, i.e by level of study and
subject.  I acknowledged receipt of your clarification on 18^th March. 

 

Based on the above please find attached an Excel spreadsheet and note the
following points:

 

o Although we have data going back to our first cohort the quality of
the data is poor in the earlier years with high percentages of no
sexual orientation recorded at all.  As a result we have included data
from 2012/13 onwards as there is a clear point here where the data
quality massively improved to a point where the numbers are large
enough to report and that we think is representative of the cohort.
o Students declare their sexual orientation separately to whether their
gender has changed from that they were assigned at birth.  Upon
checking we can see that there is overlap with transgender students
declaring a variety of sexual orientations. For this reason we have
kept the tables separate.
o We have used faculties and departments, where possible, rather than
subject as many courses are assigned multiple subjects and headcount
gets split between them.  If you would prefer the data by subject then
please let me know and we can explain how the calculation for this
works.
o Where there is a risk of individuals being identified we have applied
the <5 rule to any numbers below 5.

 

In your request you were also interested in copies of reports that may
have been produced for University staff doing LGBT monitoring, providing
health services or for meetings, etc.  I have enquired with our HR
Department who have advised me that we don’t really have anything of that
nature but you may be interested in the information on ‘Supporting our

One small query. When you ask whether "gender has changed from that assigned at birth", is gender purely self-ID or does it need to be reflected on some/any documentation?

Following your earlier query below I can confirm to you that here at the University of Essex we don't ask a student to provide evidence to prove either of these points but rather we allow students to self-declare both their gender and whether it has changed since birth.
