Thank you for your email requesting information under the Freedom of Information Act 2000.

I suspect that you have sent your request to a number of organisations. if so, many, if not all, will be significantly larger that we are. To provide a bit of context for our answers I should explain that we are a small body with fewer than 100 staff working on a single site.

With that in mind our answers are:

Finance system:
• Who is your current provider? - Smith Cooper - Sage provider

• When does the contract expire, and do you have extension options? There is no contract - we bought SAGE software and pay for an annual maintenance agreement (see below).

• What is the value of the contract? We have decided not to answer this in relation to the Sage maintenance agreement with an exact figure as the information could be prejudicial to commercial interests and is therefore exempt from disclosure under section 43(2)of the FOI Act 2000. However we have decided that we can say that our Sage maintenance agreement costs between £2,000 and £4,000 a year

• What modules do you use e.g. general ledger? In Sage - Purchase ledger, nominal ledger, cash book, purchase order processing

• What is your budget? The only budget specifically allocated to the purposes about which you ask is for the maintenance agreement mentioned above.

• When did the contract start? n/a

Procurement system:
• Who is your current provider? We do not have a software system for procurement.

• When does the contract expire, and do you have extension options? n/a

• What is the value of the contract? n/a

• What is your budget? n/a

• When did the contract start? n/a

Invoicing:
• What is your current invoice process? Process invoices using internal purchase order system and pay via Sage

• Do you have an electronic invoicing system in place? No

• What is your annual paper usage? Approx. 1000 invoices per year
