Dear Sir/Madam,

The purpose of this email is to formally request information I am entitled to under the Freedom of Information Act 2000. Please provide the following information:
1) The most recent School Improvement Plan
2) The most recent governing board meeting minutes
3) The trust’s full annual report and financial statements for the year ended 31 August 2016
4) The trust’s annual budget allocation

I would like the above information to be provided to me in an applicable electronic format.

If this request is too wide or unclear, I would be grateful if you could contact me as I understand that under the Act, you are required to advise and assist requesters. If any of this information is already in the public domain, please can you direct me to it, with page references and URLs if necessary.

I understand that you are required to respond to my request within the 20 working days after you receive this letter, as stipulated by the act. I would be grateful if you could confirm that you have received this request.

Dear Miss Watkins

Further to your recent email, I have attached a copy of the School
Improvement Plan (SIP) as requested.

The school accounts will be available on the school website next week,
after approval at the Full Governing Body Meeting.

The school makes paper copies of Governing Body minutes available, which
can be collected from the school by appointment or posted following
receipt of payment, they are not available electronically. Please
advise how you wish to proceed regarding this.

Dear Miss L Bateman,
Firstly, I must thank you for your prompt reply and attachment of the school improvement plan, and for clarifying when the accounts will be available.

In regards to the governing board meeting minutes, if it is not possible to send them as they are handwritten or typed using a typewriter, I would greatly appreciate if you could scan them in and then send them electronically. However, if they are not handwritten/made using a typewriter, I would greatly appreciate it if you clarified why you only make copies available over the post. Maidstone Grammar School, for example, was perfectly happy to send their governing board meeting minutes electronically as seen at:

Also please note the official ICO guidance stating that “Public authorities must publish under their publication scheme any dataset they hold that has been requested, together with any updated versions, unless they are satisfied that it is not appropriate to do so. So far as reasonably practicable, they must publish it in an electronic form that is capable of re-use.” [1]
All information requesting within this request comes under the ICO’s “information that we would expect them [the trust] to provide in order to meet their commitments under the FOIA model publication scheme.” [2]

Dear Miss L Bateman,

Thank you for your prompt reply - it is greatly appreciated and will help me better understand the challenging decisions grammar schools in North Kent (and the whole country to a certain extent) have to make in regards to their budgets.

However, in future I believe it would be helpful to the public interest if this information was routinely published on the school's website - it would certainly help people like me, and it would reduce your workload as well!
