Dear Mr Carpenter

Thank you for your request for an internal review received on 04/05/2021.

The purpose of an Internal Review is to assess how a Freedom of
Information request was handled in the first instance and to determine
whether the original response provided met with the requirements of the
legislation.  Internal Reviews are undertaken by the Information
Governance Team if they have not previously been engaged in answering the
request.

As part of my review I have spoken with the Service Unit who provided the
original response to you.

My findings for the questions you asked are,

How many potholes were reported in Poole park for the year 2019?

2

How many of these were reported by your own staff? (Including contractors)

1

How many potholes were repaired in Poole park 2019?

1

What was the average time for a pothole to be reported and fixed for Poole
Park in 2019?

2 days

In conclusion,  in 2019 a new highways system was being used for the Poole
area, being run alongside the old system.  A further search across all
systems we have under the term pothole, we have found recorded for Poole
Park as potholes, the above information. I have found that the use of the
old and new system has caused this problem of where information at that
time was recorded, now only the new system is used.

I apologise that the original request sent to you did not provide the
correct information, I have spoken with the Service Unit to ensure that
they check all systems for that period.

I hope you feel that I have looked into and considered the request fully,
however if you are not satisfied with this review response, you may seek
an opinion from the Information Commissioner’s Office either by telephone
0303 123 1113 or 01625 545745 or by email to [1]www.ico.org.uk

Kind regards

Dear Lorraine Wood,

Thank you for providing this information for me.

Could you please clarify something for me.
You've stated "2" potholes were reported, and "1" was repaired. Could you please clarify how you came to the conclusion of "2 days" on average to repair these 2 potholes, if only 50% of the pot holes were repaired in 2019?

Yours sincerely,

Karl Carpenter

Dear Mr Carpenter

Thank you for your email.

We have a record of a pothole that was reported by a member of staff which
was repaired 2 days later.  Due to the change of system, we do not have a
record of when the other pothole reported was repaired so this was not
included in the average time calculation.

I apologise that this was not made clear in my response to you.

Kind regards

Lorraine
