Dear Monmouthshire Council,

I am writing to request an internal review of Monmouthshire Council's handling of my FOI request 'Phone extension list’.

MCC recently denied holding the information requested. However I’d like to ask how do council employees speak to each other on the Phone? Do they just guess a extension and hope for the best? I do not think so since they would end up ringing loads of different places so there has got to be a Central directory of all extensions that MCC uses and what department/officer they reach.

Therefore, I’d like to request a copy of said directory of extensions.

Dear Mr. James,

Thank you for your call today regarding your Freedom of Information request reference: 180431.

We previously have advised you that, if anyone rings the main number which is 01633 644644 they will get the welcome greeting (in Welsh and English) and some information with regards to how MCC protects their data and direct them to the website should they want more information.
Next
If they wish to speak to someone in Welsh they are prompted to push number 1 – this will then route to the Welsh Rules set to the system.
If they wish to speak to someone in English they are prompted to push number 2 – this then gives them 5 options (e.g. Highways, Benefits, Grass Routes, Recycling and Waste and number 5 “ANY OTHER CALL” – routes to the Switchboard)
When calls come into the switchboard we answer “Monmouthshire County Council” in both Welsh and English – from here we route callers to the contact name or department they are asking for, or where we best feel they would be helped with regards to their query.

We have made further enquiries and can confirm the SRS (our IT provider) has advised that we hold the telephony extension number and name in the digital telephony system- please see attached. The person's post is held separately. To do a manual matching exercise will take us over the time limit so we are unable to do this.
We estimate that the cost of complying with your request would exceed the appropriate time limit of 18 hours. The appropriate limit has been specified in regulations in determining whether the Council holds the information, and locating, retrieving and extracting the information. Under section 12 of the Freedom of Information Act the Council is not obliged to comply with your request and we will not be processing your request further.

We can however signpost you to the hierarchy chart on our web site for you to self-serve the matching of names to posts.
