We would be grateful if you could help in answering our request for information for the following questions; answering for A-F on questions 1-8.
a) Photocopiers/MFDs (Multi-Functional Devise)
b) Printers
c) Print room / reprographic
d) Desktops
e) Laptops
f) Displays
Q1. Please name all the IT resellers that you have contacts with and buy from.
Q2. What is the length of the contracts, more specifically their end date, with the named IT resellers in question 1.
Q3. What year and month is the next hardware refresh due?
Q4. Please name the number of devices deployed by Council?
Q5. In reply to question 4, which department/facility are those located?
Q6. Please name the brand and model of the devices mentioned and the spend for each product.
Q7. Details on how these were procured. i.e. By Framework
i. Procurement method
ii. If Framework, please state which one.
Q8. Do you normally purchase equipment as services or as a capital?
Q9. What is your annual print/copy volume and spend?
Q10. Who is the person(s) within your organization responsible for the MFD's, print hardware, and supplies contract(s)? Please provide their title and their contact details.
Q11. Who is responsible for purchasing end user devices such as laptops, desktops, displays and accessories? Please provide their title, and their contact details.

I acknowledge your request for information received on 01/12/2020 about IT and Printer Suppliers

Your request is being considered and you will receive the information requested as soon as possible, but in any case by 31/12/2020 the statutory timescale of 20 working days as defined by the Freedom of Information Act 2000 (FOI) unless the information requested is subject to a statutory exemption on disclosure or the information contains reference to a third party.
If your request does not include all the information we need or is not clear, we will contact you for more information (clarification). In these circumstances, the 20 working response deadline will start the next working day after we receive your clarification response.
For your information, the Act defines a number of exemptions, which may prevent release of the information you have requested. Some exemptions are subject to a public interest test. There will be an assessment and if any of the exemption categories apply and any relevant public interest test is weighed in favour of withholding the information it will not be released. You will be informed if this is the case, including your rights of appeal.

If the information you request contains reference to a third party then they may need to be consulted before a decision is taken on whether the information can be released to you. You will be informed if this is the case.

Dear Matthew,

Thank you for your request received 1/12/20 under the Freedom of Information Act 2000 (FOIA) for ' IT & Print suppliers'.

Section 43(2) commercial data - this exemption would likely apply to the 'spend for each product' because the suppliers consider this information to be commercially sensitive. We are consulting the suppliers to find out if this is the case.

Also, it is not clear from your request how we should provide the response.

What do you mean by answering for A-F on questions 1-8.

The questions 1-8 are not specific to the options listed in A-F

So please confirm that the following are the categories you need a separate response for?

a) Photocopiers/MFDs (Multi-Functional Devise)
b) Printers
c) Print room / reprographic
d) Desktops
e) Laptops
f) Displays

If this is the case, what are the specific questions 1-8 for each category? The current wording does not fit with each A-F category.

It may be best if you provide a response template, so it is clear how the Council should provide the response. Or provide an example response.

We won’t be able to deal with your request until you provide the additional information.

The Freedom of Information Act 2000 says that we must comply with your request for information within 20 working days, from the date following receipt of your request unless we have to ask for clarification, as in this case. The 20 day response deadline clock has stopped from the date of this email, the clock will reset from the date we receive your response clarifying your request and we will advise you of the new 20 working day deadline at this stage.

Unfortunately, if we don’t hear from you by 10/02/2021, we will send you a refusal notice because we have not received all the information we need to deal with your request.

Thank for your request for information received on 1/12/20 for ‘IT & Print
Suppliers’.

 

We sent you a clarification notification on 10/12/20 asking for more
information – see attached.

 

Unfortunately, we have not received your response and your request has
been closed.  This is because the Council is not required to comply with a
request if we do not receive all the information we need to identify and
locate the information (Section 1(3) of the Freedom of Information Act
2000).

 

However, if you wish to submit a new request which more clearly describes
the information you are looking for, we would be able to consider your
request and respond within the 20 working day response deadline.
