Information department - coding and activity information request

The request was successful.

Dear University Hospitals of Derby and Burton NHS Foundation Trust,

Please could you provide the following information:

Have you audited your coding in the last year?
If so, what percentage of the records required re-coding or coding re-validation?

How many e-referrals do you process - per month and year?

How many ERS bookings are made - per month and year?

How many appointment cancellations are processed - per month and year?

Do you have an automated process for updating General Practitioner information changes?
If not, how are the updates managed and what is the average delay in the updating process?

How many whole time equivalent team members process incorrectly delivered letters?

Yours faithfully,

Clive Townsend

Dear Mr Townsend

Further to your request under the Freedom of Information Act 2000, I have been asked to clarify the following:

•How many e-referrals do you process - per month and year?
Our data would include all services available on eRS; both consultant and non-consultant led and advice requests. The ‘Paper Switch Off’ programme implemented 2018/19 would show a sharp increase in eRS referrals received. December 2019 data is not available yet. Please confirm if this is the data you require?

•How many ERS bookings are made - per month and year?
The data would show the distinct number of appointments booked or re-booked via eRS to any one of our services. If a patient booked an appointment via eRS then subsequently re-scheduled the appointment via eRS, both of these bookings would be counted in the figures. The ‘Paper Switch Off’ programme implemented in 2018/19 would show a sharp increase in eRS referrals received. December 2019 data is not available yet. Please confirm if this is the data you require?

•How many appointment cancellations are processed - per month and year?
The date would show the total number of cancellations including the following:
•Appointments made both via eRS and outside of eRS
•New and follow up appointments
•Cancellations made by both the hospital and the patient
Please confirm if this is the data you require?

Once we receive this information we can progress your request; until this is received your request will be placed on hold; the estimated date for response provided in the Trust’s acknowledgement will be adjusted accordingly. If we do not hear from you by that date your request will be closed and you would need to re-issue your application.

Kind regards
