Informatics Portal - Request for Trust's name within the report

The request was partially successful.

Dear Information Commissioner's Office,

I was reading your report in the following link:

https://ico.org.uk/media/action-weve-tak...

The report mentions the following:

"Good Practice:

One Trust has developed an Informatics Portal which provides the functionality for information flow mapping and an information asset register. As information owners or administrators enter details of information assets or systems, links are provided to appropriate policies and procedures and risks can be identified. Reminders are sent a month before the retention date of information assets to alert owners or administrators that there are assets which they need to review and possibly destroy. Entries made on the system are reviewed and users are supported by staff from Information Governance."

Under the Freedom of Information Act, I wanted to request the name of the NHS Trust that developed this informatics Portal and if the ICO can provide any recommendations for any commercially available Apps/tools emerging in aiding information flow mapping and managing information assets register or systems, as in the above quote.

I look forward to hearing from you within 20 working days.

Yours faithfully,

Sylvia Wokedi

ICO Casework, Information Commissioner's Office

29 April 2021

Case Reference: IC-100280-W6B7

Dear S Wokedi

Request for Information

Further to our acknowledgement of 15 April we can now provide a response
to your information request of 13 April.

We have handled your request under the Freedom of Information Act 2000
(the FOIA).

Request

In your email you asked:

“Good Practice:

One Trust has developed an Informatics Portal which provides the
functionality for information flow mapping and an information asset
register. As information owners or administrators enter details of
information assets or systems, links are provided to appropriate policies
and procedures and risks can be identified. Reminders are sent a month
before the retention date of information assets to alert owners or
administrators that there are assets which they need to review and
possibly destroy. Entries made on the system are reviewed and users are
supported by staff from Information Governance.

Under the Freedom of Information Act, I wanted to request the name of the
NHS Trust that developed this informatics Portal and if the ICO can
provide any recommendations for  any commercially available Apps/tools
emerging in aiding information flow mapping and managing information
assets register or systems, as in the above quote.”

Response

The information you have requested is contained within a report published
on our website. If you visit the following link you will see on page 8
that the Trust was Betsi Cadwaladr University Health Board.

[1]https://ico.org.uk/media/action-weve-tak...

Technically this information is exempt from your request pursuant to S21
FOIA as it is already in the public domain.

Lastly regarding your question about commercial products and
recommendations this is not something the Information Access Team can
respond to via the WDTK website. The most appropriate contact point for
advice would be our helpline on 0303 123 1113. However, as a public
authority, I am not sure if we would recommend or endorse any commercially
available apps.

Next steps

If you are dissatisfied with our response under the FOIA or wish to
complain about how your request has been handled please write to the
Information Access Team at the address below or email
[2][ICO request email]

A request for internal review should be submitted to us within 40 working
days of receipt by you of this response. Any such request received after
this time will only be considered at the discretion of the Commissioner.

If having exhausted the review process you are not content that your
request or review has been dealt with correctly, you have a further right
of appeal to this office in our capacity as the statutory complaint
handler under the legislation. To make such an application, please write
to our FOI Complaints & Appeals Department at the address below or visit
our website if you wish to make a complaint under the Freedom of
Information Act.

A copy of our review procedure can be accessed from our website.
