Dear Mr Townsend
 
Thank you for your 3 requests for information from Airedale NHS Foundation
Trust which was received on 18^th December 2019 .  Your requests have been
combined and given the Reference Number ANHST REF  4634.  There is no
benefit to you in sending multiple requests and it increases the amount of
time the Trust needs to spend on administering the requests.
 
We will now proceed to process the request.  The deadline date for issuing
you with a full response is 18^th January 2020.   We will try to respond
to you before this date and we will contact you if we envisage delays or
if we need more information from you.
 
Please note that under the Freedom of Information Act, some information
can be subject to exemptions, which means that the Trust does not have to
provide the information requested.  Some exemptions are “absolute” such as
personal information and some only apply where the “public interest” in
maintaining the exemption, outweighs that of providing the information.
 
In some cases, where identifying, retrieving and processing the requested
information requires more time than the “appropriate cost limit” of two
and half days work, we may refuse the request or we can charge a fee.  If
the latter is the case, I will let you know and a Fees Notice will be
issued to you.  In that case you would need to pay the fee before we
proceeded with your request,  but we will offer assistance and advise you
if, by modifying your request, we could provide you with some non-exempt
or free of charge information.

I am very conscious of the length of time it is taking us to respond to
your 3 FOI requests (REF 4634).  Please accept my apologies.   I can only
say the requests have been to many departments and staff over the past
weeks in an attempt to pull all the information together but it is still
incomplete.  We are a small Trust and it’s often the case that one person
will be covering what might be dealt with by separate teams at larger
Trusts. At this stage, I thought it might be best to offer you the
information we have managed to identify and report on as below.  If you’re
content with that great, if you want me to continue trying to gather the
remaining information then let me know.  I hope the information is useful
to you. 
 
Subject: Information Department
 
1.      Have you audited your coding in the last year?  Our last IG Coding
Audit was in January 2019
 
2.      If so, what percentage of the records required re-coding or coding
re-validation?  7.1% (12 cases) needed to be Recoded/Validated
 
3.      How many e-referrals do you process - per month and year? Not
Recorded
 
4.      How many ERS bookings are made - per month and year? Not Recorded
 
5.      How many appointment cancellations are processed  - per month and
year? Not Recorded
 
6.      Do you have an automated process for updating General Practitioner
information changes?  Yes- All General Practitioner information is
recorded on Our Patient Administration System S1, any changes to the
patients GP Details by health professionals are recorded on S1. If the
patient registers with another practice the new practice will notify the
national SPINE which then updates its patient record with the latest GP
Practitioner. S1 also checks a patients GP Practitioner details against
the National Spine to ensure the most recent practitioner is assigned to
them. 
 
7.      If not, how are the updates managed and what is the average delay

1.      How many staff do you currently employ to undertake RTT validation
tasks? One patient tracker and one pathway manager
2.      How many more permanent or temporary staff are expected to be
needed over the next 12 months? Not recorded
3.      How many open RTT pathways do you have currently? 9439
4.      How many staff do you currently employ to undertake clinical
coding validation tasks? 
We do not have someone dedicated to undertake clinical coding validation
on a day-to-day basis as the Trust does not employ a Clinical Coding
Auditor. This is done via a combination of monthly Clinical Governance
meetings, regular snapshot audits, and addressing issues as they arise.

needed over the next 12 months? Not recorded

Starters – 529.45 FTE
Leavers – 330.08 FTE
Movers-  Unable to provide accurate data due to ongoing large data cleanse
         Figures includes all assignments on ESR between 01/Jan/2019 –
31/12/2019
 
2.      How many staff/whole time equivalents manage this process?
Recruitment Team add new starters to the system this consists of 5 FTE.
Payroll action leavers and movers – Chris Lund should be able to advise on
the FTE of the Payroll team.
 
3.      Do you have an automated system to manage ESR?
Currently using Employee Self Service only
4.      Do you use a single sign on solution across the organisation to
manage the accounts?
NA
5.      If so, which solution do you have?
NA
6.      How many people are in your organisation's data quality team?
No data quality team currently in place
