Heatwave.

Under the laws of the Freedom Of Information Act 2000 i am writing to request copies of all plans and documents and emails and communications that you hold regarding the upcoming heatwave.

Please could you narrow your request and provide further direction.
I have run an email search for 'heatwave', this brings up 79gb of emails which I would need to individually read in order to ascertain if they meet your request. For context this equates to 100,000s of emails. If I search for 'heat' it rises considerably.
As an example, I may have emailed a colleague to say "I can't cope with heatwaves". You have specified all email and communications and so the example above would fall into that remit. As it stands, sifting through 79gb of emails would take me approximately two solid months.
Some specific direction would be useful in order for me to fulfil your request, I could assume that you mean strategic decision making, along with the communications sent along the lines of telling the wider business what the plans are.

Thank you for your quick reply. Apologies my request was probably too vague as i did not realise there would probably be a lot of emails and information you hold regarding this.
May i refine it to just ask for copies of plans (such as documents detailing the plans for the heatwave and measures that will be in place) and copies of staff briefing emails regarding the heatwave that were sent out to staff and any other general emails sent to staff to brief and inform them of the plans and situation.
In regards to the plans and documents and emails and communications i am interested in both copies of these regarding the impact on your network and infrastructure and the operation of trains and how you will manage this as well as copies of these regarding how it could affect employees and changes to working hours. However you can refine all of this to just provide me with plans and documents you hold and then also any general briefing emails sent out to staff briefing them about the situation rather than providing every email you hold. So hopefully this will bring it within the limits.
Also if applicable i would also be interested in the general details of any plans to distribute free bottled water (or any other free supplies such as fans or ice packs or anything else) to staff and passengers or any other similar measures to help staff and passengers cope with the heat.
These plans and emails are particularly regarding the 18th (Monday) and 19th (Tuesday) as these are the two worse days of the heatwave and these are the two days i am interested in most.
If this is still too much let me know and i will try to refine it further.

One thing to note - Network Rail are subject to FOI. Bearing in mind that our trains run on their infrastructure you may want to contact them for that info.
I suggest this because we act on instruction when it comes to infrastructure - discussions may be had but decision making in many aspects lies with Network Rail

Thank you for your further reply and information. Yes that makes sense. You can feel free to exclude anything relating solely to infrastructure. I have now also made an FOI request to Network Rail too so hopefully they will probably be the best people to give me the documents and emails relating to the infrastructure side of things during the heatwave. So yes you can exclude stuff you hold relating to infrastructure. Many thanks.
