Expenses

Roedd y cais yn llwyddiannus.

Dear Durham University,

I was wondering if you could tell me if the University ever paid fully or made any contribution towards the costs of either staff or students going to either the USA and or Canada as part of University related business in each of the past 5 financial years; The robust steps the University takes to ensure the costs they meet are best value for the taxpayer; The name and job title of staff member that approves the costings per journey

Yours faithfully,

Dear Ms Smith,

Thank you for your request for information from Durham University. Please
see our response below.

1.    I was wondering if you could tell me if the University ever paid
fully or made any contribution towards the costs of either staff or
students going to either the USA and or Canada as part of University
related business in each of the past 5 financial years;

Data for the past five financial years is not held centrally and would
need to be manually extracted from records held by Departments across the
University. It is estimated that the time taken to locate, retrieve and
extract the requested information would exceed the fees limit associated
with the Freedom of Information Act, 2000. Under Section 12 of the FoIA,
the University is not obliged to comply with a request for information if
the cost of compliance would exceed a £450 threshold, a figure which
equates to approximately 18 hours of work spent searching/retrieving and
extracting requested information. Under Section 16 of the FoIA, the
University is, however, required to provide you with advice and assistance
in relation to your request. To that end, colleagues have advised that
they could provide you with staff and student information for the period
1^st October 2013 to present as this information is now captured centrally
by the University’s Insurance team.

2.    The robust steps the University takes to ensure the costs they meet
are best value for the taxpayer

Value for money is governed by our travel and expenses policy (see
attached).

3.    The name and job title of staff member that approves the costings
per journey

Head of Department/line manager is responsible for approving travel costs.

I hope this information is useful.

Yours sincerely,

Durham Burt
