To clarify, how long are letters, emails (both internal & external), meeting minutes, telephone and other conversational records required to be kept for. And how are these held (for example in secure storage, email backups etc).

if you would kindly clarify what types of email, minutes that you are
referring to.

personal information which is kept up to date and stored only for as long
as needed.

Thank you for your response. To clarify my request I would like the following.

Information on how long emails are stored for; the emails I particularly would like to find out about about are:

Correspondence between different parts of the Met Office
Correspondence between the Met Office and researchers, for example universities
Correspondence between the Met Office and other international equivalents
Correspondence between the Met Office and international organisations (for example the IPCC).

This correspondence is, obviously, all official correspondence although I am interested in whether personal correspondence is also stored.

With respect to meeting minutes I am more interested in minutes and notes (including phone notes) between the Met Office and international equivalents and organisations (for example the IPCC).
