Also, could you please break this information down to capture the total annual amount the college was invoiced by each contractor and trade.

Thank you for your Freedom of Information Request received on 3rd January 2018. We have now completed the work to respond to your request.

On an annual basis electrical maintenance, carpentry and glazing, plumbing and decorating contractors are invited to submit day rates that they are prepared to commit to for the forthcoming year. The submissions are recorded and reviewed in conjunction with the standard of service and availability and a status of Preferred Contractor awarded. The pre-agreed preferred contractor day rates are then used to fulfil minor works requirements where the relevant planned project engagement does not exceed £50,000, and where there is no other reason within the College’s Financial Regulations to go to a formal tender process. This process provides the College with adequate access to a panel of approved contractors for maintenance and improvement works that may occur for electrical maintenance, carpentry and glazing, plumbing and decorating and also this ensures that the College achieves value for money.

Specific projects estimated to cost in excess of £50,000 as a whole are subject to a formal tender process. However, repair and maintenance contracts that cannot reasonably be predicted, estimated, or combined are cannot be subject to this process.
