I am writing further to your email below.

I am currently awaiting some further information from our Highways Area
Offices, but thought I would let you have some initial information that I
have been provided with so far.

The preliminary response is 'Yes', we do have a scheme whereby we manage
some verges of special interest that are bought to our attention by the
Dorset Wildlife Trust (DWT). There are very strict conditions that have to
be met and highways safety cannot be compromised when agreeing to manage a
verge in a particular way.

All the information on the (approximately) 100 sites are on a number of
files. This would make it prohibitively expensive for you to receive
copies of all the documentation. However, anyone can visit our offices to
view these files. Please let me know if you would like to arrange this.

I will write to you shortly once I have received the further information I
have referred to above.

a) what protection measures a verge receives when it is included in
the scheme

b) the list of verges covered by the scheme (and their locations -
road name/number and six figure OS grid references would be fine)

c) for each verge, the specific reasons why the verge has been
included in the scheme - i.e. the notable species found there, or
the NVC community present

If you do not run such a scheme in your area, but you are aware
that another body does, please could you refer me to them instead.

Dear Ms Davis
I have now spoken to Nigel Hamer (Area Highways Manager) about the
information he holds. The information is provided to him by the Dorset
Wildlife Trust (DWT) and details of each location (approximately 100 sites)
is each held on one A4 sheet of paper. We therefore have approximately 100
sheets of paper that will need to be copied. Under the terms of our fees
policy (see link below) this would entail a charge of £10. Cheques must be
payable to Dorset County Council and sent to the address below.

I do apologise if you did not receive a further email from us following my
email below. I had understood that someone from our Environment
Directorate was going to contact you about the issues we had.

Basically, the paper records that are being held by us (in our Highways
Section) are both out of date and incomplete. Copying these documents to
you would, therefore, not be helpful. I had received an email from our
Natural Environment Manager (Dr Phil Sterling), the text of which is as
follows:

The Dorset Environmental Records Centre holds a huge array of
electronic information on designated and recognised areas of wildlife
interest in the county, including the protected highway verges which are
maintained by DCC or agents (but not Highways Agency trunk roads data).

There should be no problem in allowing access to view information on
protected verges, but the question arises as to what use it will be put to.
I am sure it would be worth putting the lady in touch with DERC
directly so that they can ascertain precisely what level of information is
required in what form. I think DERC won't simply be able to copy the
data and give it to the lady since neither DERC nor DCC own the dataset
outright, and other owner(s) may wish to have their say. I doubt
DERC has an up-to-date paper copy of all the verges that could be scanned
in either as there is no demand for it.

As an independent charity, DERC would inevitably wish to make a
modest administrative charge for data handling, depending on the time it
takes to deal with the request.

At this stage, my advice would be to contact the DERC (using the contact
details above) to see if they can provide the up to date electronic
information you require, hopefully at little or no cost. The alternative
would be to write to the Dorset Wildlife Trust as they will equally have an
up to date copy as they are the agency that provides DERC with their data.
