Payments for Members' Travel and Subsistence

Dear Sir or Madam,

I am writing to ask for details of the amounts paid to members in
respect of travel and subsistence. Whilst I know that total amounts
are available in your published accounts, I would like to have this
information broken down into amounts with respect to:

* Travel by public transport
* Travel by taxi
* Travel by personal car / motorcycle
* Travel by other means

For subsistence claims, it would be useful to have as much detail
as possible about the claims - i.e. whether it relates to
restaurant bills, supermarket shopping, hotel bills etc.

If possible, it would be useful to see original copies of claim
forms / receipts submitted by members.

If you require any clarification of my request please do not
hesitate to contact me.

Dear Sir or Madam

With reference to your request for information, set out below, I need to
know the period to which your request relates before I am able to take the
matter further.

For your information, the Council does not analyse members' claims in the
way you request. In order to provide the information you require, we will
have to examine every individual claim for whatever period you prescribe.
Chichester District Council has 48 members, who may claim as frequently as
monthly (though not all do). If the production of the information takes
more than 18 hours of staff time we will require payment at the rate of
£25 per hour before we release it to you. If you let me know the period
you want us to cover, we will provide an estimate of the time it will take
to produce the information.

With regard to your request to see original copies of claim forms and
receipts, these are available for inspection by appointment during normal
opening hours at the Council Offices at East Pallant House, East Pallant,
Chichester. If you would like to make an appointment to inspect them,
please contact me for an appointment, and confirm whether you still want
us to provide the information you have requested or whether you will
compile it yourself from an inspection of the claim forms. If you require
copies of the claims, the time spent in photocopying will be included in
the production time. We will also levy a charge of 10p per photocopy sheet
+ postage payable before we supply them.
