release in relation to the Cypripedium committee, and Natural
England's participation in it (as well as that of your predecessor
bodies), including copies of any minutes of the committee's
meetings.

Naturally, given the conservation status of Cypripedium calceolus,
I would expect you to take care over the selection of information
to be released, and to redact any information which may endanger
the species' conservation status if released.

Dear Ben,

Many thanks for your replies, and the information contained.

I am satisfied that the redactions have been done fairly and
responsibly.

I am comfortable with your decision to limit the release to
post-1979 information only. I note that you have not been able to
locate minutes of some post-1979 meetings. Do you know if there are
other public bodies who may have copies of these?

Looking at the minutes, some of them make reference to other
documents, e.g. annual reports on the 'wild site'. Could you tell
me if copies of these, or any other documents in scope of my
request, but not released so far, are held by Natural England? If
so, will you be able to supply copies?

Thank you very much for your helpful reply. Could I narrow down my
request as follows:

Please could you release copies of any "Wild Site reports" (as
referred to in the Cypripedium committee minutes) which NE holds.
As before, I appreciate that a redaction exercise will need to take
place.

Should this request exceed the 18 hour limit, I am happy for you to
apply the same method you used for my previous request, i.e. to
release the most recent reports only, back to the oldest report
that you can release while remaining within the limit.

Many thanks for your reply. I take your point about the useful of
sections of the document which are largely redacted, but there are
some sections which are still largely intact - for instance the
visitor section only appears to have place names and personal data
removed, and so is quite intelligible. If it's OK, I'd like to
proceed with my request for the reports from earlier years. Please
feel free to apply blanket redaction of any tabular data if that
will save your staff some time.

Dear Ben,

Many thanks for this further information. I notice that these
reports are all quite old, and in my earlier email (copied below) I
asked whether you could start from the most recent reports first if
it was not possible to supply all of them within the 18 hour limit.
It looks as though this part of the request may have been missed by
the person preparing the redacted versions of the reports, do you
agree? I'm not sure what the correct way forward is under the
regulations in these circumstances and would look to you for your
advice on that.

Dear Ms Davis

Apologies for any misunderstanding of my response letter sent yesterday.

Due to a malfunctioning scanner, the reports attached to yesterday's
response were the only reports we were able to provide digitally by the
deadline set under the Environmental Information Regulations 2004. Within
the 18 hours set by the fees regulation we have prepared the reports you
requested in the manner you have requested, starting from the most recent
and working backwards. The reports we have prepared for you are from 1978
- 2008. These exclude the years 1983 to1986 and 2002 to 2005 as these
cannot be located and we will be applying exception 12(4)(a) under the
Environmental Information Regulations 2004 when we provide you with the
remaining reports. This exception is applied when the public body does not
hold the information requested. As explained in my letter yesterday these
remaining reports are currently only available in hard copy but are ready
for you to receive.

In order to provide you with what was possible by the legal deadline, the
available digitised reports were sent out yesterday. As stated in the
attached letter, if you are prepared to receive the remaining reports in
hard copy, please contact our Enquiries Service at
[1][Natural England request email] providing a postal address with the
email marked FAO Ben Heathcote. If you do not wish to receive these
reports in hard copy, and would prefer digitised versions, Natural England
will continue to digitise the remaining reports when the scanning
equipment has been repaired, and these will be uploaded as soon as
possible. Please note that these reports will need to be uploaded in
batches due to the size of the attachment.
