Dear Chums

As I was wondering through the wonderful campus i couldn't help but
think of the wonderful continental cafes and remembering the good
old days of how much fun the great, weird and wonderful times i had
at uni.

That was Durham, but - oh the memories.

I do recall (from an old friend) that the ultimate USP of the
university used to be the hall bars - how wonderful they must have
been - creating such great atmosphere and generating community!

Oh the wonders....just a shame that all this had to be taken away
in the name of the bottom line.

Anyway..... now onto the substantive part of the request

- can you please provide me with details of the ORIGINAL budget for
each of the continental cafes installed / launched with such grand
fanfare in 2006/07.
- Can you provide me with details of the TOTAL spend on bringing
the continental cafes into operation (including any potential
repairs which were required (like a minor sewer collapse near FB /
Nightingale??)
- can you provide detail on the revenues generated by the
continental cafes for the past 5 years since its inception
EXCLUDING any income / usage attributed to flexible food and meals
which have already been paid for by residents - please split this
into food and drink and times bought

Dear Mr Chan

Thank you for your email requesting information on continental cafes.

We need you to provide further information as at this stage we do not have sufficient information to deal with any of your request.

Please could you clarify what you mean by "continental cafes". The University has several cafes, please see http://www.nottingham.ac.uk/nh/_students..., and we are unable to identify which you would consider to be a continental café.

Where you ask for the original budget for each café can you please confirm whether this is the budget for construction or something else.

We need you to be more specific with regard to "the total spend on bringing the continental cafes into operation". What activities would you consider relevant here which are not covered by point 1? You mention repairs; could you please advise what timeframe you are interested in.

With regard to your final point we need you to provide an explanation of what constitutes flexible food. Could you also confirm that where you mention meals "which have already been paid for by residents" that you mean the catering included in their accommodation fees. Please note that, depending on your definition of flexible food, it may not be possible to segregate this information from the revenue. Please also note that at this stage we are unlikely to be able to provide a breakdown to the level of items and times of purchases. If you wish us to look into this we can, however you may wish to take this opportunity to consider minimising the scale of your request.

Please note that it will not be possible to comply with your request without this additional information.

We will respond to your request within twenty working days from the date of receiving the additional information requested.

Thank you for your spritely response. I'm sorry that I've rambled I
got carried away, and I apologize if I’ve not been clear in my
original request. I'll address these in order of your queries - i
hope this clarifies.

- i am referring to the continental cafes which were introduced to
much fanfare by a certain director of Nottingham hospitality and
Pro Vice Chancellor in 2006 - these were those built in Derby Hall,
Hugh Stewart Hall, Nightingale Hall and Willoughby hall. They were
meant to be more inclusive for all and reduce the drinking culture
at the university

- re: the budget for each cafe i am referring to the original
capital budget (including all costs related to the capital
construction such as staff costs) to bring the cafe into active use
prior to works beginning

- re: "the total spend on bringing the continental cafes into
operation" i am referring to the ACTUAL costs of bringing the cafe
into use - i am referring to ACTUAL costs - direct costs, but also
costs / works not originally budgeted for but were required to be
completed as a result of the continental cafe project - this could
refer to unbudgeted works to land, buildings, or infrastructure -
this should also include instances where infrastructure such as
drainage and sewerage were damaged and needed to be upgraded as a
result of the continental cafe project but not budgeted for

- regarding 'flexible' food - this was an initiative (i recall from
a certain individual) which was initiated where lunches for
residents in catered halls could be 'acquired' in locations across
the university - not in their hall of residence - in the mid
2000s....this again was raised with much fanfare - your assertion
that this refers to the "the catering included in (students')
accommodation fees" is correct

I hope this helps. Do let me know if this is possible to provide
elements of this information, as i appreciate that this is
potentially a lot of information (but of course - i'm certain there
is a massive audit trail which has been subject to scrutiny -
because this represented a large capital project...and i'm certain
its performance must have been scrutinised at some point?)

Dear Mr Chan,

I am writing further to your request for information regarding continental cafes. A search of our electronic and paper records has been completed.

1. The 4 cafes were installed at Derby Hall, Hugh Stewart Hall, Lenton & Wortley Hall and Willoughby Hall; there is not one at Nightingale Hall.
2. The budget was £1M; total cost £957,000. The breakdown for each café is not held by the University.
3. We can only provide income details for each cafe over the last 3 years, as previous Finance reporting didn’t separate out the cafes. This information is provided in the attached spreadsheet. The figures provided are total sales split between food and bar, it is not possible to break the information down further than this.
