Dear Sir or Madam,

Further to the information provided in my previous request for the
Prom Day Accounts, I have some further queries regarding this event
which I am sending as separate FOI requests, recognising that they
probably each need directing to different departments to be
answered fully.

For EACH of the years for which you previously provided accounts
(2001 onwards), Please provide the following information:

Who sat on the promenade day committee each year?
Were the committee paid anything for their services, or did they do
it purely voluntarily?
Please provide the minutes of the promenade day committee, which
should in any case answer fully the above questions.

Then three general questions about the promenade day committee:

Who votes for or appoints the committee members?
Are the meetings open to the public, and if so how can we be kept
informed of when they are taking place?
Can members of the public join the committee?

Usually this is because of spam filters at public authorities incorrectly intercepting legitimate email. To prevent this happening in future, please would you ask your IT department to whitelist all email coming from @whatdotheyknow.com email addresses? We provide more information here:

1. Working Group Members - see below.
2. The working group is voluntary except for Council staff, for whom it
is part of their job and also the Health & Safety consultant.
3. Minutes - see below.
4. Persons may be invited to join the group by other members of the
working group. The Bay of Colwyn Town Council also put forward 2 cllr's
to be part of the group.
5. Meetings are not open to the public as they are private group
meetings and not an official Council committee.
6. Members of the public may join the working group if they are invited
to do so by the group.

Information in relation to 1 and 3 abaove are too volumious to send
electronically, please therefore could you provide a postal address or
alternatively make arrangements for them to be collected from Bodlondeb
reception, if the latter please advise of a date and time and the
information will be left for collection.

Dear Info Regs Unit,

Thanks for your attention.

Since most of my questions have been answered by the explanation of
the mix of paid council staff and voluntary community members, I
suspect it may not be necessary to see the full minutes of all the
meetings at this time.

If you could provide the list of committee members as originally
requested I suspect that will satisfy this request.

I am sure this will not be too voluminous to provide electronically
- I guess theres a written list of members produced periodically at
meetings or an AGM which can easily be scanned to a pdf document.
