Charitable Donations Arising from May Balls

M Mash made this Freedom of Information request to Sidney Sussex College, Cambridge

The request was successful.

From: M Mash

18 October 2008

For each May Ball / June Event or equivalent held by the college
since the year 2000, could you please let me know:

i/ If the event was a fund-raising event with charitable aims.

ii/ If the event benefited from tax exemptions which applies to
fund-raising events.

iii/ The amount donated by the body running the event to charitable
causes, broken down by which [other] charities received donations
of money raised by the event.

iv/ The value of the contribution made to each event's finances by
the college. Including both cash contributions and waived charges
for products and services.

My request may well be fulfilled by releasing the annual report /
statement of accounts produced by the group organising the event.

I would like my response to include information, where held, on any
May Balls / June Events currently being organised.

Dear Jane Spencer,

I do not believe Sidney Sussex College has complied with their duty
under Section 16 of the Freedom of Information Act to provide
advice and assistance to requesters in relation to my request for
information.

Could you please expand on why the college does not hold the
requested information.

Does the college not appoint a "senior treasurer" or equivalent; a
member of college staff to oversee the event? Does this person not
hold the information I am seeking?

Yours sincerely,

M Mash

Dear M. Mash,

Thank you for your message.

The May Ball Committee at Sidney Sussex College is an independent, private body, legally separate from the College. The College holds no information, and has no interest for its own purposes in holding information, relating to the May Ball events.

The College does not appoint anyone to oversee the event. Each year a member of staff, or a fellow, is available to assist the committee in making its arrangements for the Ball, and acts on behalf of the Committee, not for the college. Any information which such persons may hold, and there may be no such information held, will be held on behalf of the Committee and not the College.

The current President of the May Ball Committee is Ms Amy Walker, who may be contacted at [email address].

Yours sincerely,
Jane Spencer

Dear Jane Spencer,

Please pass this on to the person who conducts Freedom of
Information reviews.

I am writing to request an internal review of Sidney Sussex
College, Cambridge's handling of my FOI request 'Charitable
Donations Arising from May Balls'.

A full history of my FOI request and all correspondence is
available on the Internet at this address:
http://www.whatdotheyknow.com/request/ch...

I disagree with the decision to consider information that may be
held by the member of staff, or a fellow, made available by the
college to assist the committee not subject to the Freedom of
Information Act. I consider any such information is, in effect,
held by the college.

I do not believe the review should focus solely on this point; I am
surprised the information I am seeking is not held by the college
for example in the form of letters/emails/minutes/agendas in which
the activities relating to the events have been reported to the
college.

Yours sincerely,

M Mash
