Dear Royal Mail Group Limited,

Please could you provide me with the following information:

Do you make use of any Artificial Intelligence systems (including
handwriting recognition) in the sorting of mail?
And if so, do you have any statistics as to the volume of data
processed through these means and the accuracy rate achieved?
When did these systems come into use, and how much investment is
put into them?

Dear Mr Snowden,

I am writing in relation to your Freedom of Information request dated 05
January 2012.  In order to assist us with our investigations into your
request our Operations and Engineering teams have asked that you clarify
exactly what systems you mean when referring to Artificial Intelligence
Systems.  We have identified the Optical Character Technology used with
our processes which would be relevant to your request, do you require
information in relation to this technology, or do you require information
regarding any further systems?  If you are able to clarify this point of
your request it would be appreciated.

Furthermore, in relation to your request for volumes of data processed
through any relevant machines, it would be appreciated if you could
identify whether you require this information for specific years?

Please note that ICO guidance advises that under section 1(3) of the Act,

“where a public authority –

(a) reasonably requires further information in order to identify and
locate the information requested, and

(b) has informed the applicant of that requirement”

the authority is not required to comply with the request until that
further information is provided.

Whilst the applicant may have made an FOI request under the terms of the
Act, by describing the information he/she seeks, the 20 working day time
limit would not start until the authority had sufficient information to
enable it to deal with that request."

Therefore, our response date will be revised based on the date you provide
clarification to your request, however we will of course endeavour to
respond to your request as soon as possible.

If you are unhappy with the service you have received in relation to your
request and wish to make a complaint or request an review of our decision,
you should write to the Head of Information Compliance, Royal Mail Group,
Company Secretary's Office, 100 Victoria Embankment, LONDON, EC4Y 0HQ.  An
internal panel will then review the decision, and you will be advised of
the outcome.

If you are not content with the outcome your complaint, you may apply
directly to the Information Commissioner for a decision. Generally, the
ICO cannot make a decision unless you have exhausted the complaints
procedure provided by Royal Mail Group. The Information Commissioner can
