Portable Freeze Frame Unit
Instructions for Use
Place the portable unit on a flat surface with the Label “TOP” showing. Unclip the two hinge locks and take the lid off.

Power supply for lamp (green)
Connections:
The 1st plug (nearest the cable) in the 4-way is the power to the 4-way. Remove this and plug into mains supply. The red light on the 4-way should now be on.
Place the camera onto to tripod, turn to screw the camera onto the tripod. Make sure the tripod is stable and that the camera is secure.
The connections from the camera to the laptop need to be in place before you switch on, these are the yellow connector into the clear round connector of the wee green box.
Laptop & Camera Power Up:
Open the laptop by sliding the button on the front to the right as you lift the lid.
Switch the camera on by press & sliding the green power button to the right then release. Take the lens cap off and if any symbols or icons appear on the camera screen press the display button until the screen is free of them.
Switch on the laptop with the grey power button beside the DELL sign.
The laptop has a touch mouse, use this by pressing your finger lightly over the touch pad, the mouse will move accordingly. Use the silver buttons below the touch pad to click left and right as you would the click buttons on a standard mouse.

Double Click the SEC Freeze Frame Icon on the Desktop

The Freeze Frame program will launch and the following screen will be displayed.

Press Enter at this Screen (Freeze Frame The Complete Photo I.D. System)
This will take you to the Version and License information Screen.

Press Return at the Freeze Frame Version Screen

Card Production should be hi-lighted. Press Return

NEC is the only option and should be hi-lighted. Press Return
Data Input Screens
Title - Enter data and press return for next screen

Forename - - Enter data and press return for next screen

Middle Name - Enter data and press return for next screen

Surname - Enter data and press return for next screen

Date of Birth- Enter data and press return for next screen

Gender- Enter F or M and press return for next screen

Address- Enter data and press return for next screen

Telephone Number - Enter data and press return after each address entry and then press return for next screen

Mobile Phone Number - Enter data and press return for next screen

Email Address - Enter data and press return for next screen

Reason for Concession - Enter data and press return for next screen. See Appendix 1

Validation Level - Enter data and press return for next screen. See Appendix 1

Expiry Date

UCRN - Optional

CHI - Do not enter data - Press Return for next screen.

Tick Box (Data Protection) - Enter Data Share option and Press Return for Next Screen. Very Important to read Appendix 1 prior to entering data option.

Barcode - Enter data if you use a Barcode on the NEC

This is a Summary of the data you have just entered. If the data is correct enter “Y” and Press Enter to accept the data. If the data is incorrect enter “N” and you will be taken back through the data entry screens again to allow you to correct any inaccuracies.

If the photograph on screen is suitable for the NEC then Press Enter

This gives the option to accept or reject the photo. Enter either “Y” to accept the photograph or “N” to reject the photograph. If you reject the photo you are taken back to the previous screen to allow you to retake the photograph.

The following screens are for Young Person's NEC. If not collecting YP data Press Return for next screen.
For YP enter either “Y” to opt-in to Young Scot Branding or “N” to opt-out of Young Scot Branding.

Enter either “Y” for Volunteer or “N” if not a Volunteer.

Enter Educational Establishment. Please see Appendix 1 for details

Enter Deliver To details - H = Home or E = Educational Establishment

Enter Magnetic Stripe details if you use this.

Enter Pupil ID Number

Enter “Y” to accept the details or “N” to return and modify incorrect data.

Once you accept the above value you will be taken back the Menu Press return to enter another record.

If you have finished entering data use the Down Arrow Key to highlight the Exit to Windows Option and press return.

If you wish to Exit then Press return.

Educational Establishments
A list of Education Establishments, which includes the SEED number, and the Full Address of the Schools/Colleges should be compiled and sent to Novacroft. Email this to [email address] stating your LA and requesting that they be added to the system.
