Dear L. Lluva,
Thank you for your letter, received at our office on 14 January 2010 asking for a review of our
response to your request for information under the Freedom of Information Act 2000. You
requested the agendas, minutes, papers and summary reports relating to the Olympic
Delivery Committee (ODC), a former committee of the Agency. The agendas were provided in
the original response and therefore the review has focused on the remaining aspects of your
request.
An internal panel consisting of 3 senior members of staff and chaired by the Chief Information
Officer was convened to review the request and the original response.
As a result of the review the panel requested that a sample of the papers were printed and
compiled to gain a better understanding of the time it was likely to take for the whole exercise
to be completed. Although the sample indicated that a substantial effort is required, to comply
in full with the request, it was concluded by the panel that the total time that will be spent:
(a) determining whether we hold the information,
(b) locating the information, or a document which may contain the information,
(c) retrieving the information, or a document which may contain the information, and
(d) extracting the information from a document containing it
is likely to be less than 18 hours. The panel’s decision is therefore to uphold your request.
However, given the volume of material, we are not yet able to provide the information
requested and are also still considering whether any of the information held is subject to any
exemptions under the Freedom of Information Act 2000. We will keep you updated on our
progress and will provide a response by no later than 11 March 2010.
