INFORMATION REQUEST
Your request for information has now been considered and I am able to partially respond
to your request, however, I am not able to meet your request in full at this time.
With regards to the request for information regarding the costs involved in staging the
Ashfield Show 2009 it was noted that you have previously stated that this information
would "be in the public domain by Oct 2009". As we reach the end of October this
information still does not appear to be in the public domain. I understood the use of 'by Oct
2009' to mean before October began. Once more I re-iterate my request for this
information to be released.
As a result of investigations which have been carried out, I am able to inform you that the
total expenditure for Ashfield Show 2009 was approximately £340,000. This led to an
overspend of about £166,000 against the approved revised budget. It should be noted that
there are some minor transactions/adjustments still to be made.
I am unable to release detailed information at present as this will form part of a report to a
future Audit Committee meeting of this Council. It is anticipated that the Audit Committee
will meet in Mid-December to consider and verify the final information collated as part of
the investigations carried out and make recommendations thereon.
In accordance with the Freedom of Information Act 2000 this letter acts as a Public Interest
Refusal Notice.
It is considered that the public interest in withholding the detailed information outweighs
the public interest in disclosing it.
The exemption applied is Section 22 - Information intended for future publication.

This exemption applies because the Deputy Leader (Cllr. John Wilmott) at a Council
Meeting on the 30th July gave verbal assurance to all Members that the true costs of the
Ashfield Show will be made public in due course.
The reasons why the public interest favours withholding the detailed information are:
- a commitment to release true costs has already been provided.
- the information has not yet been finalised and verified by the Audit Committee.
- to release detailed information at this time we consider would undermine the Council’s
processes and may prejudice the outcome of the Audit Committee.
We anticipate that this information will be in the public domain by the end of December
2009.
