Managers Guidance - Shortlisting & Interview Assessment Spreadsheet
The aim of this guidance is to enable managers to use the shortlisting spreadsheet to record which applicants they wish to interview and those that do not meet the criteria of the employee specification.
The spreadsheet is divided into 4 worksheets as follows:
1. Shortlisting - Electronic
This worksheet is designed for you to complete the spreadsheet on your computer. There is space for 100 applicants and if your pool of applicants is larger than 100 you can copy the worksheet as many times as you need. The skills, knowledge, experience and behavioural criteria from the employee specification have been pasted into the worksheet and you are asked to enter a Y or N for each applicant. Please remember to enter the name of each applicant in the appropriate cell.

For jobs that have a safeguarding element you can indicate if there are any gaps in employment for any of the shortlisted applicants that you want to question at the interview.
2. Shortlisting - Printable
If you prefer to print out the shortlisting form, use this worksheet and it will print on A4 paper. You will need several copies if your applicant pool is large.
3. Individual Interview Assessment Form - Printable
This worksheet is to use to record individual interview assessments. One for each interviewee should be printed ready to complete either during or following their interview.
For safeguarding jobs any gaps in employment history explored at the interview must be documented on this form and signed by the applicant.
4. Applicant List
This worksheet has a complete list of all the applicants who have applied for your job indicating if they have declared they are disabled. If a disabled candidate meets the essential criteria you must offer them an interview.
5. Next Steps
Once you have your shortlist of applicants to see at interview the next step is to complete an Interview Information Form. Your recruitment co-ordinator will email you a copy of this.
The chair of panel should keep all the shortlisting information until after the interviews have taken place.
